Administration

Cashier Training Coordinator

We are seeking dynamic and organized individuals to join our team as Cashier Training Coordinators. In this role, you will be responsible for implementing training programs for cashiers, ensuring that they acquire the necessary skills and knowledge to provide excellent customer service and efficiently handle transactions. The ideal candidate will have a strong background in cashier operations, training, and a passion for fostering a positive and engaging learning environment.

Responsibilities:
-Onboarding and Orientation: Conduct orientation sessions for new cashiers, introducing them to company policies, procedures, and expectations.
Provide hands-on training for new hires on Square and cashier responsibilities.
-Performance Monitoring: Provide constructive feedback to cashiers and offer additional support or retraining as needed.
-Communication and Collaboration: Collaborate with department managers to identify specific training needs and tailor programs accordingly. Maintain open communication channels with cashiers, addressing any concerns or questions related to training.

Qualifications:
-Proven experience as a cashier or in a related role.
-Previous experience in training and development
-Familiarity with Square and cash handling procedures.
-Strong organizational and multitasking skills.
-Excellent communication and interpersonal abilities.
-Ability to adapt training methods to different learning styles.
-Knowledge of customer service best practices.
-Prior experience volunteering with Animethon an asset, Treasury experience preferred but not required.

Treasury Staff

Overview
Treasury is seeking detail-oriented individuals with a penchant for keeping track of numbers. Treasury staff are responsible for managing cash flows during the event.

The responsibilities of Treasury Staff are as follows:
- Prepare and deliver cash floats for various departments
- Count and report on cash inflows and compare against reported sales
- Manage and delegate the distribution of technology, passes and floats
- Ensure that proper tracking procedures are followed.
- Support cashiers with questions and assist when needed.

Qualifications
- Ability to perform math functions in a fast-paced environment
- Experience with counting cash required.
- Working knowledge of Square, iPads, and logging into websites
- Ability to dedicate 6-8 hours per day during Animethon weekend
- Formal training in bookkeeping or accounting considered an asset
- Adequate time management skills, and ability to keep to a schedule

Guest Relations

Autographs Assistant Manager

The Assistant Autographs Manager reports to the Autographs Manager. Successful candidates will assist the Autographs Manager in managing the autographs team and ensure the smooth operations in the Autographs area during the convention. The Assistant Autographs Manager will also be responsible for supervising critical aspects of the autographs area.

Core Responsibilities and Accountabilities:
-Create and maintain schedule of Autograph Staff
-Support Autograph Staff in the execution of their duties which include line control, autographs, and guest merchandise sales
-Assist the Autographs Manager in establishing procedures and processes for handling of autograph and merchandise sales, line control, and autograph ticket distribution
-Train and support Autograph Staff in the usage of Point of Sales systems and cash handling
-Accountable for float balances prior to sales, and after conclusion of sales
-Report on total sales per session to the Autographs Manager
-First point of escalation to resolve customer complaints with floor staff
-Accountable for Guest merchandise inventory management.

Qualifications:
-Excellent conflict resolution skills
-Good at mental math
-Retail experience with cash handling and Point of Sales systems
-Good communication and negotiation skills
-Good customer service skills
-Good organisation skills for managing staff and inventory/sales tracking

Autographs Staff

The Autograph Staff reports to the Autographs Manager. Successful candidates will be responsible for cash handling and Point of Sales transactions at the Guest Autograph tables, line control, autograph ticket distribution, and any other duties assigned within the Autographs area by the Autographs Manager.

Duties and Responsibilities:
-Handle cash and point of sales transactions for Guest merchandise or services
-Perform inventory control of merchandise and cash floats as per procedures
-Distribute and verify Autographs tickets
-Control lineups within the Autographs area
-Respond to customer inquiries regarding Autographs
-Assist Autographs Manager as needed in other assigned duties

Qualifications:
-Good at mental math
-Retail experience with cash handling and Point of Sales systems
-Maintain a high level of professionalism while dealing with the public and guests
-Customer Service experience is an asset.

Guest Handler

The Guest Handler, reporting to the English, Overseas, or Industry Manager, is responsible for handling official Guests of Honour under the Department of Guest Relations. The Guest Handler will act as a representative of the event and act as the primary liaison between the Convention and the guest during their stay. The Guest Handler will regularly report updates and status of Guest activities to the Guest Team and notify the manager of any issues/concerns raised by the guest for the duration of their stay in Edmonton.

Core Responsibilities & Accountabilities:
-Act as an ambassador for the event for assigned Guests of Honours.
-Ensure Guest(s) perform contractual obligations and follow agreed upon schedules.
-Accountable for ensuring all Guest(s) requirements are met, including transportation and meals.
-Communicate with the Guest Team and provide regular updates during the event of activities.
-Accountable for arranging local attractions and activities at Guests request and with Guest Manager’s approval.
-Assist Guests with presentations and workshops as required.
-Accountable for communicating Guest requests and day-of logistical items to the Guest Operations Team.
-Manage event expenses on behalf of the Guest, including cash handling.
-Assist in translations as required.
-Maintain professional image and hygiene at all times.

Qualifications:
-Excellent communication and diplomatic skills.
-Excellent organizational skills.
-Excellent knowledge of Edmonton attractions, activities, and restaurants.
-Excellent conflict resolutions skills.
-Proficient with messaging and texting on mobile phones.
-Must possess a mobile phone with a data plan.
-Must be mobile and capable of walking for extended periods of time indoors and outdoors.
-Must be available for the entire duration of the Guest stay in Edmonton, beginning on the Thursday prior to the Event date, and the Monday following the Event date.
-Must be over the age of 18.
-Customer Service experience is an asset.
-Japanese Language proficiency is an asset.

Human Resources

Flex Staff

Overview
-Reports to Hospitality Manager
-Assist other areas with short term tasks as required
-Need to be available for whole event, will be scheduled to work around 4-5 (four to five) 3-4 (three to four) hour shifts during the event (~20 hours) on an on call system

Information Desk Staff

Info Desk staff report to the Info Desk Assistant Managers and Info Desk Manager, responsible for assisting our patrons with queries about the Event and distributing specialty passes. Info Desk staff also have auxiliary posts and roam throughout the event. While the majority of this position’s work is during the event, Info Desk Staff may be asked to support info desk set-up and staff training pre-event.

Core Responsibilities & Accountabilities:
- Act as an ambassador for the Event to patrons
- Provide timely and professional support to patrons including answering general questions from the public in regards to the Event
- Maintain a frequently asked questions (FAQ) log throughout the event
- Sign out specialty passes as required
- Thoroughly understand the content of the guidebook, event schedule, and general layout of venue

Qualifications:
- Excellent communication and organizational skills
- Good problem solving and conflict resolution skills

Assets:
- Able to roam indoors throughout the Event for up to three hours
- A mature, professional, and upbeat attitude
- Customer service experience

Invited Staff

Merchandise Staff

Overview:
- Works the Merchandising table or booth during the event.
- Handles sales and transactions of all event-owned merchandise.

Qualifications:
- Good Customer Service skills
- Good Communication Skills
- Well versed in performing monetary transactions and balancing a till.

Registration Staff

We are looking for eager individuals to serve as Registration Staff. In this position you will be welcoming attendees to Animethon while you help them purchase and pickup passes for the event. Training will be provided!

You must meet the following requirements:
- Must be at least 18 years old
- Can lift and carry 15-20 pounds efficiently
- Good communication and customer service skills.
- Comfortable and confident in handling transactions with a point of sales system.

Public Relations

Advertising Staff

Overview
-Year-round position, 6 hrs/week
-Reports to Advertising Coordinator
-Promote Animethon through various methods of advertising
-Assist Advertising Coordinator as required. Duties may include the below:
-Review and analyze surveys, and research advertising trends
-Meet with potential advertising agencies to discuss advertising plans
-Select media providers by obtaining quotes and estimating returns on investment
-Initiate advertising contracts upon approval, request creatives from Design Manager, manage the delivery of creatives to vendors and confirm that advertising placements happen according to contracts
-Evaluate the performance of advertising campaigns
-Generate revenue for Animethon via advertisement sales

Qualifications
-Good understanding of advertising in regards to anime and Asian popular arts
-Good communication and negotiation skills
-Some professional experience in advertising and marketing preferred, but not required
-Some daytime availability for meetings or business emailing preferred

Assistant Director of PR

Overview
-Year-round position, 10 hrs/week
-Reports to the Director of PR
-Assist the Director of PR as required
-Assist the Director of PR in overseeing Marketing, Media, Info Desk, Merchandise, and Website.
-Assist in the hiring of managers and coordinators for the PR department
-Fill in vacant key roles
-Oversee and delegate tasks to each departmental function as required by the Director of PR
-Seek out potential sponsors for Animethon
-Curate sponsors for Animethon
-Develop a Sponsorship Program for Animethon
-Generate revenue through our Sponsorship Program
-Build and maintain relationships with local and international businesses
-Coordinate with other departments for their sponsorship needs
-Handle media interviews and speak on behalf of the event
-Coordinate and communicate with the event Committee regularly
-Attend monthly meetings

Brand Ambassadors

Overview
-Year-round on-call position
-Reports to Community Events Coordinator and Assistant Coordinator
-Cosplay at various external events to promote Animethon
-Tell interested people about Animethon
-Pose for photos with patrons upon request to create positive Animethon experience
-Use own social media to promote Animethon from time to time
-Upload video clips to Animethon social media platforms to promote and maintain community engagement

Qualifications
-Cosplayer, gamer, or general anime and Asian pop culture enthusiast
-Mature, outgoing and friendly
-Knowledgeable about Animethon and ASAPA
-Have own reliable transportation
-Weekend availability plus some weekday and daytime availabilities
-Willingness to travel out of town
-Must have clean and/or professional conduct on personal social media platforms

Stipulations
*No cash handling
*Must be accompanied by an Animethon Coordinator staff or higher at events while on shift
*Only gas and hotel are covered for out-of-town events
*Small stipend provided to off-set cost of meals for out of town events only

Design Staff

Overview:
-Year-round position, 5 hrs/week
-Reports to Design Coordinator
-Design various marketing content including print ads, digital ads, and online/social ads
-Design various operational assets including Guidebook material, badges, event slides, and infographics
-Understand and apply design specifications, sizes and other requirements for printing, vendors, etc.
-Implement provided brand styles and guidelines depending on the project requirements
-Assist Signage team in signage design, production, setup, and teardown as needed
-Assist Design Coordinator and/or Directors as required

Qualifications:
-Must be fluent in PhotoShop, InDesign, Illustrator or equivalents
-Education and experience in marketing or design would be a plus
-Other content and design experience including photo editing, video editing, logo design etc. would be a plus

Marketing Manager

Overview
-Year-round position, 8 hrs/week
-Report to Director of PR and Assistant Director of PR
-Manage the communication and promotion of the organization’s brand
-Perform strategic marketing analyses (PESTLE, SWOT, trend)
-Prepare an integrated marketing plan
-Oversee advertising, community events, mascot, sponsorship, and social media teams to deliver on an integrated marketing plan
-Interview, select, train, coach and evaluate for coordinators advertising, community events, mascot, sponsorship, and social media teams
-Work with Media Manager to coordinate the development of assets to support an integrated marketing plan
-Seek out potential sponsors for Animethon
-Curate sponsors for Animethon
-Develop a Sponsorship Program for Animethon
-Generate revenue through our Sponsorship Program

Photo/Video Assistant Coordinator

Overview
-Year-round on-call, plus at event shifts
-Reports to Photography Coordinator
-Assist the Photography/Videography Coordinator as required, including:
-Coordinate Photographer/Videographer Staff for the event;
-Schedule events to be covered by all Photographer/Videographer Staff;
-Coordinate with the Site department to ensure compliance with all Site and Animethon policies in regards to photography and videotaping during the event;
-Obtain all required rights for the use of photographs and video footage to promote Animethon;
-Organize and deliver all photographs and video taken for the event and during the event to ASAPA;
-Liaise with any other professional photography/videography groups officially part of the event;
-Provide photo/video services for Animethon and ASAPA promotional purposes
-Provide photo/video services for ASAPA events
-Hold all responsibilities of the Photography/Videography Coordinator when they are off-duty or unable to perform their duties;

Qualifications
-Able to lead and manage the team under fast-paced and high-stress environments
-Understanding of event photography/videography or equivalent required
-Background and experience in photography/videography required
-Fluent in Lightroom and Photoshop or equivalent
-Videography skills a plus
-Video editing skills a plus
-Have own equipment

Photo/Video Staff

Overview
-Year-round on-call, plus at-event shifts
-Reports to Photo/Video Coordinator and Assistant Coordinator
-Take photos/videos of events or promotions as required by the Photo/Video Coordinator
-Batch process photos taken by photo staff and upload to our social media albums
-Store and backup photos on supplied storage device

Qualifications
-Background and experience in photography/videography required
-Knowledge of using photo editing software required(e.g. Lightroom)
-Own laptop with software required
-Have own equipment

Signage Coordinator

Overview
-Event lead-up time 6 months, plus at event shifts
-Reports to Media Manager
-Coordinate all requirements in regard to signage at all venues of the event;
-Determine the quantity, sizes and information needed for all required signage;
-Work with the Design Coordinator to come up with signage layouts;
-Ensure all materials needed for building the required signage is accounted for or obtained;
-Coordinate the placement and removal of all signage during the event.

Qualifications
-Must be fluent in PhotoShop, InDesign/Illustrator or equivalents
-Education and experience in marketing or design would be a plus

Social Media Staff

Overview
-Year-round position, 7 hrs/week plus at event shifts
-Reports to Social Media Coordinator and Assistant Coordinator
-Assist the Social Media Coordinator and Assistant Social Media Coordinator as required;
-Monitor and respond to comments and inquiries on assigned social networking platform;
-Man the Social Media table/booth during the event.

Qualifications
-Must be an avid social media user of all platforms
-Excellent communication skills and impeccable command of the English language.
-Able to professionally, assertively, and cordially handle difficult community members or situations
-An excellent understanding of the community (i.e. Fandom) that Animethon serves.
-Must have clean and/or professional conduct on personal social media platforms

Safety and Policy Compliance

Safety Floor Staff

General Responsibilities
-Assigned to perform Safety Staff responsibilities for a specific area of the venue.
-Predominantly responsible for crowd control and safety compliance during the event.
-Assist patrons in navigating the event by providing general information about the venue.
-Manage lines by directing patrons to the appropriate areas and assuring that the line remains organized.
-Disperse crowds that may be impeding the flow of traffic through the event.
-Watch for and report any situation that may be deemed unsafe or in conflict with Animethon’s policies.
-Reports to a dedicated Safety Floor Manager and the Director/Asst. Director of Safety.
-In addition, the following responsibilities should be considered, depending on the area of the event assigned:

Main Events/Registration
-This area includes managing the largest lines at the event, as well as the ongoing Registration line.
-Responsible for safety patrol at the concerts and dances.
-Afternoon and evening availability is required, full day availability is preferred.

Assembly Level
-This area primarily involves safety patrol and crowd dispersal.
-Responsible for the exhibitor halls, main lobby area, and outdoor terrace.
-Morning and afternoon availability is required.

Meeting Level
-This area involves managing the multiple concurrent lines running for programming in the Meeting Level of the event.
-A tolerance for especially crowded and congested areas is necessary.
-Effective communication and coordination with other members of the meeting level team is necessary.
-Full day availability is preferred.

Qualifications
-Good to excellent communication skills.
-Comfortable working around and in large crowds.
-Comfortable approaching and speaking to members of the public.
-Customer service experience is an asset.
-First Aid training is an asset.

Safety Staff (General)

General Responsibilities
-Predominantly responsible for crowd control and safety compliance during the event.
-Assist patrons in navigating the event by providing general information about the venue.
-Manage lines by directing patrons to the appropriate areas and assuring that the line remains organized.
-Disperse crowds that may be impeding the flow of traffic through the event.
-Watch for and report any situation that may be deemed unsafe or in conflict with Animethon’s policies.
-Reports to the Safety Staff Manager and the Director/Asst. Director of Safety. Will regularly be assigned to support Safety Floor Managers.

Qualifications
-Good to excellent communication skills.
-Comfortable working around and in large crowds.
-Comfortable approaching and speaking to members of the public.
-Customer service experience is an asset.
-First Aid training is an asset.

Site Operations

Logistics Dispatch Coordinator

Assists the Logistics Manager and Logistics Assistant Manager in their duties before/during/after the Event and may be asked to
perform many of the same duties, answering to the Logistics Assistant Manager should the Logistics Manager be off duty or unable to perform their duties.

Responsibilities:
– Works with Logistics Managment and the Team Leads to ensure Setup/Teardown runs smoothly
-Monitors Slack for any requests for resources or Logistics staff
– Coordinates Setup/Teardown teams and day-of runners through their Logistics Team Leads
– Report any issues with delivery, Setup/Teardown, or Staff/Volunteers to Logistics Managment
– Monitor/Maintain Logistics Room during Event
– Holds all responsibilities of the Logistics Assistant Manager when they are off duty or unable to perform their duties on site.

Qualifications:
– A logical and systematic approach to work
– Good time management ability
– Strong problem solving and decision making skills, as well as being able to think laterally and offer creative solutions
– Experience working with inventory, shipping, or equivalent
– Some IT literacy and the ability to handle electronic data
– The ability to manage change and handle stress in a fast-moving environment, as well as being able to cope with standby times/downtime in a constructive manner
– Excellent communication (both oral and written), negotiation, and analytical skills
– A positive attitude toward external suggestions and continued learning

Logistics Staff

Reponsible for ensuring event is delivered to site, set up, maintained, torn down, and returned to
storage within time frames. Staff answer to the Logistics Manager and Assistant Logistics Manager or
their Team Lead while on a project.

Responsibilities:
– Assist with load in, Setup, Teardown, and load out to and from Site
– Complete all objectives within timeframe
– Work with other departments to complete tasks when necessary
– Deliver requested items to departments during Event
– Monitor/Maintain Logistics Room during Event

Qualifications:
– A logical and systematic approach to work
– Good time management ability
– Strong problem solving and decision making skills, as well as being able to think laterally and
offer creative solutions
– Experience working with inventory, shipping, or equivalent
– The ability to manage change and handle stress in a fast-moving environment, as well as being
able to cope with standby times/downtime in a constructive manner
– Excellent communication (both oral and written)
– A positive attitude toward external suggestions and continued learning
– Must be able to lift 25 lbs.
– Own PPE/Protective Footwear is recommended, but gloves and hi-vis are available from Site
- Available in the week before event for setup
– Class 5 Drivers and a clean abstract (optional)

Technical Staff

Overview:
- Helps to ensure all A/V & Computer equipment is in working order for all events using them.
- Provide technical support to Guests and Panelists prior to the start of their panels.
- Respond to Technical support requests as required.
- Assists The IT/Technical Services Manager, Technical Coordinator or IT Coordinator with any other additional duties as required.

Qualifications:
- Good technical aptitude and problem solving skills.
- Good understanding of computers and/or audio/video equipment.
