Human Resources

Personnel Staff

Hey there! We're looking for friendly and professional people to be a part of our Personnel Team! As Personnel Staff, you'll need to work with our database software and forms to help us maintain administrative records and staff benefits during the event.

Overview:
- Complete tracking forms at event, and collect and confirm data with staff as needed
- Aid in setup and dispensation of staff benefits
- Participate in volunteer tracking and scheduling
- Spot check records and reports daily

Qualifications:
- Great organizational skills.
- Great communication skills.
- Must be detail orientated.
- Experience working with youth is an asset
- Experience with Data Management is an asset

Preservations Coordinator

We're looking for a personable and professional individual to join the Human Resources team. The preservations coordinator works with the Hospitality manager and their team to help plan and manage staff events. This position also monitors the dietary needs of staff members at Animethon.

- Oversee the selection of food and drink available to staff and volunteers at the event. Ensure that all food and drink provided has an ingredient list as much as practicable.
- Plan and execute any staff events tied to the event.
- Adhere to the stated food and drink budget.
- Deliver food and drink to staff and volunteers who are unable to obtain food from the designated food locations when food is available.

Qualifications:
- Great organizational skills.
- Good communication skills.
- Experience working with catering services or equivalent is highly recommended.
- Must be detail orientated.
- Must not have airborne allergies to food.

Programming

Guest Liaison

The Guest Liaison, reporting to the Guest Manager and Assistant Guest Managers, is responsible for handling ASAPA’s official Guest of Honours under the Department of Programming. The Guest Liaison will act as a representative of ASAPA and attend to Guest needs during their stay in Edmonton, including pick-up and drop-off at airport, arranging for transportation during their stay in Edmonton, ensuring contractual obligations are upheld, timely appearance at scheduled functions, ensuring meals and water is arranged, and entertain the Guest with local attractions. The Guest Liaison will regularly report updates and status of Guest activities to the Guest Team and notify the Guest Manager of any issues/concerns regarding Guest stay in Edmonton, and maintain professionalism at all times while acting as a representative of ASAPA.

Duties & Responsibilities:
Act as the event representative with Guests of Honours.
Ensure Guest(s) contractual obligations and agreed upon schedules are followed.
Ensure all Guest(s) requirements are met, including transportation and meals.
Communicate with Guest Team and provide regular updates during the event of activities.
Arrange for local attractions and activities if time permit and with approval.
Maintain professional image and hygiene at all times.
Assist Guest with presentations and workshops as required.
Handle cash transactions for Guest in local currency as required.

Qualifications:
Good communication and diplomatic skills.
Good organizational skills.
Excellent knowledge of Edmonton attractions, activities, and restaurants.
Good conflict resolutions skills.
Proficient with messaging and texting on mobile phones.
Must possess a mobile phone with a data plan.
Must be mobile and capable of walking for extended periods of time indoors and outdoors.
Must be available for the entire duration of the Guest stay in Edmonton, beginning on the Thursday prior to the Event date, and the Monday following the Event date.
Must be over the age of 18.
Customer Service experience is an asset.
Class 5 Driver’s License and over the age of 25 is an asset.

Guest Team Lead

The Guest Team Lead, reporting to the Guest Manager and Assistant Guest Managers, is responsible for assisting the Guest Managers with on-site duties during the Event dates, such as resupplying water in panel rooms and Green Rooms, obtaining and delivering stationeries as required, assist Guest and Guest Liaisons at Guest Panels by handling microphones and runner, preparing panel rooms in advance of Guest arrival, and other tasks as required. The Guest Team Lead will provide updates to the Guest Managers regarding missing items/issues as observed, and work with all relevant parties to resolve issues.

Duties & Responsibilities:
Prepare water bottles and general cleanliness of panel rooms prior to Guest arrival.
Assist Guest and Guest Liaisons with the smooth operation of Guest Panels. These include runners for written questions with pen/paper and microphone handling for Q&A sessions.
If required, provide introduction at Guest Panels to introduce Guest to the audience with the assistance of the Guest Liaison, and facilitate Q&A sessions.
Assist Guest Managers with facilitating communication between Guest Liaisons and Transportation Coordinators, ensuring all requests are submitted, confirmed, and any questions/concerns from either side is relayed to the relevant parties.
Assist the Guest Autograph Coordinator as necessary for obtaining missing items and other requests.
Provide relief/breaks as required for Guest Liaisons while on-site and for short periods of time off-site.

Qualifications:
Good communication skills
Good organizational skills
Excellent time management to ensure all tasks are completed in time.
Proficient with messaging and texting on mobile phones
Proficient in the use of Computers and Laptops
Must be mobile and able to walk/stand for extended periods.

Public Relations

Advertising Coordinator

Overview:
- Assist the Director, Assistant Director of Public Relations and Sales Manager in drawing up advertising strategies.
- Coordinates and obtains a variety of quotes, as required, for all advertising.
- Follows up on and ensures all advertising placements happen as per contract.
- Assists the Sales Manager as required.

Qualifications:
- Good understanding of advertising in regard to Anime and Popular Asian Arts.
- Good communication and negotiation skills.

Design Staff

Overview:
- Assists the Design Manager and Content Coordinator as required
- Assists with the making of Guidebook material and all content related materials
- Does all layouts required but not limited to: Handbills, posters, and handouts.
- Able to generate Artwork and Layouts as required

Qualifications:
- Experience in graphic design and layout or equivalent.

First Aid Staff

Overview:
- Provide First Aid as required.

Qualifications:
- Emergency First aid certification or equivalent (Valid during the event).

Merchandise Staff

Overview:
-Assisting in sales of Animethon exclusive merchandise
-Can handle a POS system
-Must demonstrate a high level of professionalism while dealing with the public and guest

Qualifications:
-Good communication skills and basic math skills
-Some customer service experience
-Open availability during the event is preferred

Purchasing Coordinator

Overview:
- Coordinates and obtains a variety of quotes, as required, for all printing requirements.
- Assists the Merchandise Coordinator, Advertising Coordinator or other staff in Public Relations obtaining quotes and the ordering of merchandise, services or materials as required.
- Ensures all ordered merchandise, services or materials are ordered is received on time and in an acceptable condition.

Qualifications:
- Basic understanding of printing processes.
- Good understanding of basic contracts and quoting practices.
- Good communication and negotiation skills.

Sales Coordinator

Overview:
-Medium-high commitment volunteer work
-Report to Sales Manager, Assistant PR Director, and PR Director
-Assist the Sales Manager and Advertising Coordinator as required
-Work with them to develop and adjust sales plan
-Cold calling, visiting local businesses in person, email correspondence to sell sponsorship packages, ads, etc.
-Establish and build a professional relationship with business partners

Qualifications:
-Good communication and negotiation skills
-Some knowledge and interest in anime, manga, j-music, and/or gaming
-Access to a vehicle preferred

Social Media Coordinator

Overview:
- Coordinates and manage all social networks (including but not limited to Facebook, Twitter, etc...), forums, and other internet related outlets of the community that fall into the scope of what Animethon serves.
- Moderate social networks to maintain a friendly environment and maintain a positive image of the Event.
- Reports any major issues and concerns on Social Media to the Director of Public Relations and ASAPA.
- Provide updates on Social Media of changes, events, and activities occurring during the event and engage the community.
- Manage and run the Social Media table/booth during the event.

Qualifications:
- Good communication skills.
- An excellent understanding of the community (i.e. Fandom) that Animethon serves.

Safety and Policy Compliance

Crowd Control Staff

We are looking for enthusiastic individuals to join our Safety crowd control team! This team will be managing all of the site's access control. The team will be monitoring areas on the venue grounds such as the lineups for main events and vendors hall. Crowd control staff also provide communication to the public regarding event policies. Staff work with Macewan Campus Security to provide a safe and energetic convention. To apply please Email your Resume to safety@animethon.org

-Maintain and communicate the event rules to patrons.
-Maintain a professional customer service attitude.
-Willingness to take and write reports as needed.
-Ensure that the safety and fire code policies and procedures are followed and communicated.
-Perform line control duties and crowd dispersion/reorganization as required.
-Keep foot traffic flowing in highly congested areas.
-Follow instructions as provided by the Head of Safety, Assistant Head of Safety, or Safety Schedule Coordinator.
-Experience in line and/or crowd control is an asset.

Exhibitor Policy Staff

Overview:
- Assist the Exhibitor Policy Coordinator with any duties as required.
- Provide expertise in various Anime-related licensed goods and products.

Qualifications:
- Must have exceptional attention to detail
- Expertise in Anime-related licensed goods and products is required
- Passion for collecting merchandise
- Experience working in a team environment is an asset
- Must be available throughout the event (August 10-12, 2018)
- Will need to develop a working knowledge of Animethon Policies and Contracts (eg: Exhibitor, Artist Alley)

Site Operations

Communications Staff

Overview:
- Assists the Communications Coordinator with any required duties.

Qualifications:
- Understanding of radio communications and protocols.
- Good communication skills.
- Able to use radio and cell phones.
- Good computer typing skills.

Driver

Our first line of contact for our guests and backbone of Logistics. Reports to the Transportation
Coordinator.

Responsibilities:
– Picking up and dropping off various guests, media, staff, volunteers and equipment as required
throughout the event from various locations around the city and surrounding
– Maintaining their rental vehicle as needed and reporting any issues with vehicles to
Transportation Coordinator
– Maintaining Site Kit and water supplies within vehicle and reporting discrepancies to
Transportation Coordinator
– Obeying all traffic laws and city regulations
– Maintaining utmost professionalism at all times.
– Maintaining Dress Code while on duty
– Ensuring that parking tags are kept in good repair and are current/appropriate for the space

Qualifications:
– Good time management ability and organizational skills
– A commitment to teamwork and excellent interpersonal skills
– Strong problem solving and decision making skills, as well as being able to think laterally and
offer creative solutions
– Experience working with inventory, shipping, or equivalent
– The ability to manage change and handle stress in a fast-moving environment, as well as being
able to cope with standby times/downtime in a constructive manner
– Excellent communication (both oral and written)
– A positive attitude toward external suggestions and continued learning
– A flexible approach to working hours
– Must be able to lift 25 lbs.
– Own PPE/Protective Footwear is recommended, but gloves and hi-vis are available from Site.
– Class 1, 2, or 4 Driver's license and a clean abstract – no more than 3 demerits (required)

Logistics Staff

Reponsible for ensuring event is delivered to site, set up, maintained, torn down, and returned to
storage within time frames. Staff answer to the Logistics Manager and Assistant Logistics Manager or
their Team Lead while on a project.

Responsibilities:
– Assist with load in, Setup, Teardown, and load out to and from Site
– Complete all objectives within timeframe
– Work with other departments to complete tasks when necessary
– Deliver requested items to departments during Event
– Monitor/Maintain Logistics Room during Event

Qualifications:
– A logical and systematic approach to work
– Good time management ability
– Strong problem solving and decision making skills, as well as being able to think laterally and
offer creative solutions
– Experience working with inventory, shipping, or equivalent
– The ability to manage change and handle stress in a fast-moving environment, as well as being
able to cope with standby times/downtime in a constructive manner
– Excellent communication (both oral and written)
– A positive attitude toward external suggestions and continued learning
– Must be able to lift 25 lbs.
– Own PPE/Protective Footwear is recommended, but gloves and hi-vis are available from Site.
– Class 5 Drivers and a clean abstract (optional)

Logistics Team Leader

Oversees a small team of Logistics Staff/Volunteers and coordinates runners during the Event,
ensuring delivery to Site, Setup, maintenance, Teardown, and return to storage within time frames.
Answers to Logistics Manager and Assistant Logistics Manager.

Responsibilities:
– Ensure the delivery and setup of various portions of the Event
– Coordinate load in and load out at Storage
– Coordinate a team of Logistics Staff/Volunteers to complete objectives within the time frame set
out by the Logistics Manager
– Report any issues with delivery, Setup/Teardown, or Staff/Volunteers to Logistics Manager or
Assistant Logistics Manager
– Coordinate runners during Event
– Monitor/Maintain Logistics Room during Event

Qualifications:
