For all those who are interested in staffing for Animethon 17, here is a list and summary of all staff position proposed fopr this year

If you are interested in any of the positions, please e-mail us at chair@animethon.org with your name, contact e-mail, Phone number and position(s) interested in. We will add your name to the list that will be passed onto the Directors who will get in touch with you for any positions within their departments. This does not guarantee any position to anyone; however it is very important for us to have a good idea if we will have enough potential staff to begin the planning for Animethon 17.

PLEASE NOTE, previous staff or volunteer experience is not required for any of the positions, however, all Assistant Directors and possibly some key management positions will require you to be 18 years or older. Generally for the rest, the required age is 16 years or older and will be looked at on a case by case basis.

DESCRIPTIONS

Executive:

Chairperson:
The chair of Animethon is the leader of the Animethon committee. They are responsible for making sure that Animethon happens and that the committee will work together. This includes: arbitrating disputes between directors, chairing Animethon meetings, compiling reports on the event, representing Animethon to all outside parties, and being prepared to take manage any part of the event that may be in jeopardy. They are also responsible for holding meetings on at least a monthly basis. Prior committee and/or management experience is highly recommended for this position. The chairman must also be the primary liaison between ASAPA and the Animethon committee and is expected to attend ASAPA meetings.

Vice-Chairperson:
The vice-chair is expected to be the chairperson's assistant and backup in all aspects of the event. The vice-chair is expected to keep themselves apprised of all aspects and issues being handled by the chair and must be ready to step in and fill the chairperson's duties should circumstances require it.

Secretary:
The secretary is responsible for collecting all non-financial records and statistics relevant to the event, collating and managing contact information and records for staff, and taking minutes during Animethon meetings. The secretary must be someone willing to commit the time to paperwork, must be a good note taker, and must have good organizational and filing skills so that they may quickly find information needed by the committee.

Treasurer:
The treasurer is responsible for all financial aspects of Animethon in coordination with the ASAPA treasurer. This includes coordinating the budget within the Committee and insuring all financial transactions are recorded and accounted for. During the event, they will be required to count, record, and deposit all revenues, and receive and collate receipts for reimbursement. An accounting or retail sales background is an asset but not a requirement.

Human Resources Department

Director of Human Resources:
The Director of Human Resources shall be responsible for managing all of Animethon's information regarding staff and volunteers such as: recruiting volunteers, proper training of volunteers, hospitality (ie. food services), maintaining all information pertaining to volunteers, and all volunteer operations before and during the event. They will also be responsible for all aspects of registration (both pre-registration and day-of), MODs (public safety), and first aid.

Assistant Director of Human Resources:
The Assistant Director is expected to be the Director's assistant and backup in all aspects of the department. The Assistant Director is expected to keep themselves apprised of all aspects and issues being handled by the Director and must be ready to step in and fill the Director’s duties should circumstances require it.

Head of MODs:
The Head of MODs is responsible for managing all MODs and overseeing the safety of all attendees of Animethon. They will liaise with the venue(s) security to assist that all policies are maintained and properly enforced. They will ensure all MODs are properly trained (ie. Line control, badge checks, ID checks, weapon checks, etc.) and familiar with Animethon’s policies.

MOD Foreman(s):
A MOD Foreman will assist the Head of MODs in their duties and will be required to manage areas and situations when the Head of MODs is unavailable.

Registration Manager:
The Registration Manager is responsible for all aspects of pre-registration and day-of registration. This includes overseeing front desk layout, pre-registration confirmations, ensuring accurate count of passes sold, dealing with attendees for all issues pertaining to registrations, etc. They will also be in charge of distribution of all badge types used by Animethon during the event.

Front Desk Coordinator(s):
These coordinators are responsible for maintaining a clean and efficient Front Desk and overseeing Front Desk volunteers during the event. This includes maintaining an accurate count of inventory and sales, writing receipts to patrons upon request, etc.

Volunteer Scheduler:
The scheduler is responsible for the creation, assignment, and coordination of volunteer shifts as well as coordinating the tracking of volunteer hours both before and during the event.

First Aid Coordinator:
This coordinator is responsible for the coordination of first aid training for staff and volunteer who wish it and ensuring Animethon's records as to who has current first aid certification is accurate. They are also responsible for ensuring we have sufficient first aiders and supplies available for the event.

Hospitality Coordinator:
This coordinator is responsible for coordinating all food and drink requirements for staff and volunteers during the event as well as coordinating all appreciation dinners for staff and volunteers before and/or after the event.

Staff Recruitment Coordinator:
This coordinator is responsible for coordinating the recruitment of staff as well as volunteers for projectionist, cashier, general, MOD, and other duties as required by Animethon. They are also responsible for coordinating all staff and volunteer training and ensuring they meets the requirements for the position they are applying for (such as minimum age).

Programming Department

Director of Programming:
The Director of Programming is responsible for coordinating and scheduling all live events and video programming during Animethon. This includes all contests (e.g.: AMV, Cosplay, Karaoke, etc.), main events, panels, demonstrations, gaming and all other live events. The department is also responsible for contacting, booking, and looking after all official guests as well as the rating and obtaining of all screening rights as required for all videos shown at Animethon.

Gaming Manager:
The Gaming Manager is responsible for the coordination and management of all gaming rooms and events which include LAN, console and RPG/card gaming.

LAN Gaming Coordinator:
This coordinator is in charge of coordinating all of the LAN gaming at the event. This includes any demonstrations, contests or tournaments within this scope of their responsibilities.

Console Gaming Coordinator:
This coordinator is in charge of coordinating all of the Console gaming at the event. This includes any demonstrations, contests or tournaments within their scope of their responsibilities.

RPG/Card Gaming Coordinator:
This coordinator is in charge of coordinating all of the RPG/Card gaming at the event. This includes any demonstrations, contests or tournaments within their scope of their responsibilities.

Guest Manager:
The Guest Manager is responsible for the management and coordination of all aspects of Animethon’s Guests and staff resources related to guests. This includes the finding and booking of guests, arrangements of travel, coordination between the guests and programming for scheduling activities, looking after the health, welfare and enjoyment of the guests as well resolving any other issues related to the guests.

Band Coordinator:
This coordinator is responsible for finding and booking of bands, arrangements of travel, coordination between the bands and programming for scheduling guest activities, looking after the health, welfare and enjoyment of the bands as well resolving any other issues related to the bands.

Guest Handlers:
The guest wranglers are staff that is assigned to look after al the needs of guests during their stay at Animethon. This will work closely with the Guest Manager to ensure all guest activities are properly coordinated.

Programming Scheduler:
The Programming Scheduler is responsible for working with all the coordinators in the department of programming to assemble a master schedule for the event,

AMV Coordinator:
This coordinator is rresponsible for the running of the AMV Contest in all it’s aspects as well as all other related AMV events within their scope of their responsibilities.

Cosplay Coordinator:
This Coordinator is responsible for the running of the Cosplay Contest in all it’s aspects as well as all other related Copslay events within their scope of their responsibilities.

Dance Coordinator:
This coordinator is responsible for coordinating and the running of the dance in all its aspects within their scope of their responsibilities

Karaoke Coordinator:
This Coordinator is responsible for the running of the Karaoke Contest in all it’s aspects as well as all other related Karaoke related events within their scope of their responsibilities.

Panel Coordinator:
This coordinator will be in charge of coordinating and recruiting the entire live fan and run panels as well as maintain communications with all individuals and groups associated with them. This includes overseeing the running of all panels under their control at the event as required.

Special Events Coordinator:
This coordinator is responsible of coordinating of all live events that are not covered by the other coordinators. This will include demonstrations, festivals, cultural activities, etc

Cultural Coordinator:
This individual will have the responsibility of coordinating and recruiting of live “cultural” panels, workshops and demonstrations outside of the mainstream anime programming (i.e. Martial Arts, Dances, Language, ceremonies, etc.)

Video Programming Coordinator:
This coordinator will be in charge of coordinating all of the video programming in all its aspects. This includes the selection and generation of a master list of all titles to be shown and all of its related information, having all the videos rated as required by the Alberta Film Board and to obtaining screening rights as required for all videos shown. During the event the Video programming Coordinator will be responsible to oversee the running of all videos.

Public Relations Department

Director of Public Relations:
The Director of Public Relations is responsible for all public communications & relations, sales, publications (such as look & feel) and marketing for Animethon. Public communications & relations includes managing the Animethon website, coordinating media coverage, liaising with the anime fan community, coordinating exposure for Animethon, etc. Sales include obtaining vendors/exhibitors, acquiring advertisers, finding sponsors for the event, etc. Publications which designs all products such as the guidebook, media package, website, etc. Marketing produces all products (which includes merchandise), placement of advertising, as well as managing photography / videography, Artist’s Alley and the Art Gallery.

Assistant Director of Public Relations:

Marketing Manager:
The Marketing Manager is responsible for the production of all products and merchandise for Animethon. This includes the procurement of printing & advertisement services and items such as t-shirts, guidebooks, buttons, posters, etc. Additionally, they are responsible for coordinating all aspects of Animethon’s photography and videography, as well as managing the Art Gallery and Artist’s Alley.

Advertisement Coordinator:
This coordinator is responsible for the placement and tracking of all advertisements such as posters, handbills, etc. They will liaise will advertisement companies and ensure all related contracts are fulfilled.

Art Gallery Coordinator:
This coordinator is responsible for the running of the Art Gallery, the collection of fine art pieces, the protection of said art pieces, and the running of the Art Auction.

Artist Alley Coordinator:
This coordinator is responsible for the running of Artist’s Alley and the recruitment, placement, and relations with the artists. They will ensure all artists comply with all terms and conditions set forth in the Artist Alley Contract.

Merchandise Coordinator:
This coordinator is responsible for the coordination and procurement of Animethon’s merchandise. This includes items such as t-shirts, guidebooks, buttons, posters, etc. They will handle all aspects of production for said items and ensure they are produced and delivered in a timely and costly manner.

Videography & Photography Coordinator:
This coordinator coordinates and oversees all photography (including photo booth, etc.) and video footage, taken by Animethon, which includes the editing and organization of the above media.

Publishing Manager:
The Publishing Manager is responsible for the design, editing, and graphics of all public documents and products for Animethon. This includes the managing of all art and packages (such as the vendor and media kits), as well as the guidebook, website, and signage for the event.

Art Coordinator:
This coordinator is responsible for the coordination of all artwork required by Animethon.

Managing Designer:
The Managing Designer is responsible for all the designs and layouts for all items such as the guidebook, media & vendor packages, etc.

Managing Editor:
The Managing Editor is responsible for the editing of all written content such as the guidebook, website content, media & vendor packages, etc.

Signage Coordinator:
This coordinator is responsible for coordinating all aspects of signage at the event and ensures compliance with all policies in regards to the site(s).

Website Designer:
The Website Designer is responsible for the creation of a functioning website. This job will require the knowledge of a scripting language, HTML, CSS, and ensure compatibility on all recent platforms and browsers.

Relations Manager:
The Relations Manager is responsible for the management of all public communications for Animethon. Public communications include media coverage, the community, and corporate & government relations.

Community Relations Coordinator:
The coordinator is responsible for all coordination and communication between Animethon and related clubs, festivals, conventions, societies, message boards, attendees, etc. They will coordinate table & badge swaps between said groups as well as trips to other events, feedback from both attendees and the community, and any additional community activities.

Corporate Coordinator:
The coordinator is responsible for establishing and maintaining all corporate ties and relationships. This includes government organizations, corporations, and the procurement of grants from said organizations.

Media Coordinator:
The coordinator is responsible for the coordination and handling of all media such as television, radio, newspapers, and magazines. They will also be responsible for press releases and coordinating interviews with said media.

Webmaster:
The webmaster is responsible for the management of the website and related forums. This includes the posting of all content provided by staff in a timely manner, and insuring all problems and issues related to the website are addressed, and the creation and management of Animethon email addresses.

Sales Manager:
The Sales Manager is responsible for the coordination of all sales agents. Sales include obtaining vendors/exhibitors, advertisers, sponsors, etc. They will be involved in the development of pricing schedules related to said items and ensuring all information relating to sales is forwarded to the appropriate departments.

Site-Operations Department

Director of Site-Operations:
The Director of Site Operations is responsible for all aspects pertaining to the site(s) Animethon will take place such as: booking and dealing with the chosen site venue, coordinating with all departments regarding rooms & accommodations to be used, the internal layout of individual rooms, and coordinating the acquisition of all required major equipment and materials (such as staging, audiovisual equipment, etc.). The department is also responsible for communications, setup/teardown, maintaining all inventory items and information services at the event as well as managing all aspects of the Exhibition Hall.

Assistant Director of Public Relations:
The Assistant Director is expected to be the Director's assistant and backup in all aspects of the department. The Assistant Director is expected to keep themselves apprised of all aspects and issues being handled by the Director and must be ready to step in and fill the Director’s duties should circumstances require it.

Communications Manager:
The Communications Manager will be in charge of the planning and managing all forms of communications used during the event which will include radios, Animethon cell phones and any other forms of organized communications that may be required. They will coordinate and supervise all operators and ensure communications logs are kept and maintained. They will also be responsible for the policies and training of the use of all communication devices and lingo as required before and during the event.

Exhibitor Manager:
The Exhibition Manager will be responsible for the coordination, layout, planning and day of running of the Exhibitor’s Hall. This will include the acquisition of all contractors, equipment and supplies required for the Exhibitor’s Hall. They will coordinate and maintain all vendor/exhibitor information acquired Animethon’s Sales Agents and ensure all site related vendor/exhibitor needs and issues are addressed.

Main Events Room Manager:
The Main Events Room Manager is responsible for managing all aspects of the main events room outside of programming. This includes the acquisition and setup of all required equipment (i.e. staging, lighting, video, audio, etc), management of all staff and volunteers required to run the room and working with the programming department to ensure all equipment and setup requirements are met for all main events.

Site Liaison:
The Site Liaison is responsible in coordinating all communications between the venue(s) and Animethon.

Accommodations Coordinator:
The coordinator is responsible for coordinating all accommodations used by Animethon which includes the attendees, staff, volunteers and guests. They maintain and coordinate all information and statistics related to accommodations.

Information Services Coordinator:
This coordinator will be responsible for the running of the information booth. This includes working with all departments and the secretary to obtain all required information and to manage all staff/volunteer resources during the event at the information booth.

Logistics Coordinator:
This coordinator is responsible for the transportation, inventory, distribution and record keeping of all equipment required for the event.

Parking Coordinator:
This coordinator will be responsible for coordinating and acquiring all parking requirements as required by Animethon. This includes working with site to ensure adequate parking is provided for contractors, staff and guests. They will also be responsible for coordinating all flow of traffic for Vendor/Exhibitors and contractors during setup and teardown.

Setup/Teardown Coordinator:
This Coordinator plans and coordinates all setup and tear-downs required outside of what the contractors provide. They will train and supervise all staff/volunteers for the tasks at hand and work with all the departments, to ensure that inventory and assets are properly setup prior to and during the event.

Tech Coordinator:
The Tech Coordinator is responsible the planning, acquisition, setup, use and troubleshooting of all audio/video equipment outside of the Main Events Room. They will work with the venue(s) Audio/Visual technician to maintain proper and authorized usage of all the facility equipment and will be responsible for all reports on technical issues or equipment failures during any of the presentations, performances, or productions.
