Artist Alley

Artist Alley is located in the MPR (Multi-Purpose Room) right next to the Cafeteria and thus maintains a high level of traffic.


Artist Alley is currently full and sign up is now closed. The following information has been left for reference.

The online form will go online at this page at exactly 8:00 PM UTC-7:00 on the 14th of April 2013. Details required for the online form will be, but not limited to, your name, e-mail, a site showcasing your works (this site MUST showcase your works, if nothing is there your registration becomes invalid). Applicants will be notified within 2 weeks after they have completed the online form.

Please be sure you read the contract carefully before signing it. Breaking any of the guidelines listed in the contract may get your badge revoked, or even ban you from applying to the artist alley in the future.
  • Each artist is allowed ONE assistant.
  • Only 1 person is allowed behind each table at any given time.
  • Anybody without an artist alley pass is NOT ALLOWED inside during set-up or take down time. This includes hours where artist alley is open as well. If you have more than one person helping you they MUST wait at the door, they are not allowed inside without a pass!
  • Letting someone behind the table without an artist alley badge is NOT ALLOWED, doing this makes the area behind the tables crowded and bothers artists beside you.

Animethon Artist Alley Contract

This contract sets forth the rules and terms for the Artist Alley at Animethon 20, August 9th - 11th, 2013. By participating in Artist Alley, you (the Artist) agree to abide by these rules and terms.

This contract is made between ASAPA and the signee (the “Artist”) as named in Appendix A: Artist Alley Signup Instructions and Form (“Appendix A”) attached hereto. This contract and Appendix A which form part hereof and are incorporated herein, are collectively referred to herein as the “Contract”. In consideration of the mutual covenants set forth in this Contract and for other good and valuable consideration, the receipt and sufficiency of which is hereby acknowledged, the parties hereto agree as follows.

1. Definitions

  • 1.1“ASAPA” means the Alberta Society for Asian Popular Arts its Staff, agents, and representatives.
  • 1.2"Animethon" or "Animethon 20" means the anime and Japanese pop-culture event entitled Animethon 20 held on August 9 to August 11, 2013 at Grant MacEwan University, Edmonton, Alberta, Canada.
  • 1.3"Animethon Committee" means the Committee comprised of volunteers and staff who are charged with the administration and organization of Animethon 20. The Animethon Committee, except where expressly stated, has authority to carry out the responsibilities and duties on behalf of ASAPA.
  • 1.4"Artist" means an individual, which sells goods or services as defined in this contract at Animethon 20.
  • 1.5"Term" means the period of time from the signing date of this contract until 17:00 of August 11, 2013.


  • 2.1 The Artist Alley will be in the multipurpose room of the Grant MacEwan University - City Centre Campus. The Animethon Committee and ASAPA reserve the right to change the location without notice.

3. Adult Art

  • 3.1 Artists may not display art that is deemed offensive or inappropriate. ASAPA has the sole right to determine what is offensive or inappropriate. Shoujo-ai and Shounen-ai are acceptable provided that the artworks do not depict nudity and/or sexual situations. Any adult material may only be sold, exchanged, or donated to those 18 years of age or older provided they have shown government issued photo ID.

4. Merchandise and Space Use

  • 4.1 All Doujin/Doujinshi must have their rating and subject matter clearly marked and include proper copyright information. Sales of restricted materials are not permitted during Artist Alley hours.
  • 4.2 Bookmarks, buttons, and other merchandise may be handled by the Artists themselves, or by their assistant at the Artists’ discretion.
  • 4.3 Only 1 (one) person is allowed behind each table at all times. Each Artist is allowed 1 (one) assistant and may help with set up and tear down, but the assistant may not sit at the same table as the Artist.
  • 4.4 Artists are not allowed to let visitors or friends behind the table without an Artist Alley badge.
  • 4.5 Storage area for merchandise must not exceed the table space allotted to the Artist.
  • 4.6 Displays may only make use of table itself and may not occupy space behind the table.
  • 4.7 Artists are not permitted to make cash sales outside of Artist Alley over the course of Animethon on Grant MacEwan property.
  • 4.8 Merchandise sold at the Artist Alley must be, and/or contain, the intellectual property of the Artist.
  • 4.9 Merchandise deemed to fall outside the scope of this restriction may be banned from sale.
  • 4.10 ASAPA has the sole right to determine if goods are not compliant with this policy.

5. Proxy Selling

  • 5.1 Proxy selling (i.e. selling the works of a registered Artist who is not present in the Artist Alley) is strictly prohibited. Collaborative works, such as (but not limited to) anthologies, would be an exception to this rule.

6. Food Services

  • 6.1 Food and water will not be provided to Artists. Artists may leave their table at their own leisure and discretion to obtain their own sustenance.

7. Event Access

  • 7.2 The Artist Alley pass does not allow the Artist access to other events. ONE discount weekend pass ($20) is available per table purchased. This discount event pass is only available to names registered under the table.

8. Operation of the Artist Alley:

  • 8.1 Hours of the Artist Alley are as follows: Saturday: 9:30 AM to 8:00 PM Sunday: 9:30 AM to 4:00 PM The Animethon Committee and ASAPA reserve the right to change the hours of operation without notice.
  • 8.2 All sales should be finalized 30 minutes prior to the Artist Alley’s closing times to avoid any last-minute rushes. Artists are suggested to show up around 8:00 AM on Saturday and Sunday to set up, and have until 9:00 PM on Saturday and 5:00 PM on Sunday to clean up their tables. If an Artist does not show up or inform the Artist Alley Coordinator they will be late prior to opening on Saturday, the Animethon Committee reserves the right to allocate the table space to someone else.

9. Advertising

  • 9.1 Artists are responsible for their own advertising in the alley through display boards and show binders. The Animethon Committee and ASAPA reserve the right to restrict advertising if it is deemed to be inappropriate, cumbersome, unsafe, or overly large. If you are uncertain if your display may be in question, arrangements can be made with the Artist Alley Coordinator to review and approve the display.

10. Fire Code and Safety

  • 10.1 No person or item (including but not limited to table displays, boxes, overstock, lighting or other display materials) may fully or partially block, impede or otherwise hamper any fire equipment, entrances, exits or aisles.
  • 10.2 Artists may not bring in extra chairs as the maximum amount of chairs is already allocated into the room.
  • 10.3Artists may not run any electrical cords or use any power outlets in the Artist Alley.
  • 10.4The ASAPA Safety and Compliance Officer or his Designate(s) have sole discretion of Safety Related matters and reserves the right to request immediate removal of items or remedy of any safety related violations. The ASAPA Safety and Compliance Officer or his Designate(s) will notify Vendors/Artists in writing of violations. Failure to comply with requests will result in immediate termination of contract and expulsion from the event.

11. Information of Artists

  • 11.1 Artists must supply Artist Alley with current contact information (email, phone number, etc.). Information will not be shared with anyone except for the Artist Alley and Animethon staff on a need to know basis. The information will be transferred to the next Artist Alley Coordinator to allow for transition unless the Artist requests otherwise. Artists must provide their legal name on the contract as any cheques that are written out will be done to the name on the contract.

12. Promotional Rights

  • 12.1 Artists grant the Animethon Committee and ASAPA the right to list Artist's name in our advertising and guidebook on our website. The Animethon Committee and ASAPA grant the same reciprocal right to the Artist. Animethon reserves the right to use any photographs or videos featuring the Artists or the Artist Alley in future advertising for Artist Alley.

13. Security

  • 13.1 Artists (or their assistant) are responsible for securing their own works and material when not present at their tables. The Animethon Committee and ASAPA are not responsible for the loss or damage to the material and works of Artists. ASAPA does not guarantee security present overnight between Saturday and Sunday, hence Artists are responsible for their own materials and works if they choose to leave them in the Artist Alley overnight.

14. Indemnification

  • 14.1 Artists indemnify and agree to hold the Animethon Committee, ASAPA and any members, officers, directors, staff and/or employees thereof blameless for any and all damages caused to the Artist or his/her property, agents, representatives, employees, or consultants. Artists also indemnify and agree to hold Animethon/ASAPA and any members, officers, directors, staff and/or employees thereof blameless and in case of theft of Artist property including, but not limited to, physical and intellectual theft.

15. Damage to Site

  • 15.1 Artist agrees to be liable for any damage their actions cause to the site.

16. Severability

  • 16.1 Should any provision of this contract be rendered or declared invalid by reason of any existing or subsequently enacted legislation, or by any decree by a court of competent jurisdiction, such invalidation of such part or portion of this document shall not invalidate the remaining portions, and they shall remain in full force and effect.

17. General Policies

  • 17.1 The Artist agrees to follow and be bound by Animethon’s General Policies. These policies shall be made available by Animethon upon request of Artist.

19.Table Information

  • 19.1 Each table in Artist Alley is 3’ x 3’ in size
  • 19.2 Tables are sold at a fixed rate of $45.00 per table. Payment must be received within three (3) weeks of receiving a confirmation e-mail from the Artist Alley Coordinator after the submission of this contract or by July 13, 2013, whichever is sooner. All sales are final, no refunds.
  • 19.3 A maximum of two tables may be purchased per artist.
  • 19.4 Table assignment is at the discretion of the Artist Alley Coordinator. Requests for specific locations will be considered but not guaranteed.

20. Floats

  • 20.1 All Artists are expected to bring and maintain their own floats. Animethon will not provide change for any Artist.
