Administration

Assistant Treasurer

Overview
The Assistant Treasurer plays an important role in helping to manage cash flows for Animethon. The
successful candidate will be expected to temporarily manage and run the Treasury department in the
Treasurer’s absence.

The responsibilities of the Assistant Treasurer are to assist the Treasurer with the following tasks:
- Coordinate assembly of financial records from all departments and document the Animethon
budget
- Hold the Animethon committee accountable to the provided budget
- Ensure all financial transactions with Animethon are recorded and accounted for
- Handle all floats, counts, recording of accounting information, depositing all revenues, receiving
and collating receipts for reimbursement

Qualifications
- Accounting, bookkeeping or equivalent experience and education
- Excellent record-keeping abilities
- Experience managing a group of people in a fast-paced environment

Information Desk Staff

Overview
Event lead-up 3 months, 2 hrs/week plus at event shifts
Reports to Info Desk Manager and Assistant Manager
Assist with the distribution of special passes at the Event
Man the Information Desk day-of at the Event;
Be the go-to person to answer attendee questions;

Qualifications
Thorough understanding of event times, general layout of venue, and who to go to in order to get certain answers required.
Mature and professional attitude
Experience with customer service

Treasury Staff

Overview
Treasury is seeking detail-oriented individuals with a penchant for keeping track of numbers. Treasury
staff are responsible for helping to process invoices and payments leading up to and after Animethon,
and managing cash flows during the event.

The responsibilities of Treasury Staff are as follows:
- Assist the treasurer is processing payments before and after Animethon
- Prepare and deliver cash floats for various departments
- Count and report on cash inflows and compare against reported sales

Qualifications
- Ability to perform math functions in a fast-paced environment
- Experience handling cash
- Working knowledge of Microsoft Excel and Google Drive
- Ability to dedicate 2-4 hours per week leading up to Animethon, and 8 hours per day during
Animethon weekend
- Formal training in bookkeeping or accounting considered an asset

Human Resources

Invited Staff

If you were asked to apply for a specific role or invited to be staff by a hiring manager and you do not see the role as an option, please select this option in the application form. Registration Staff

We are looking for eager individuals to serve as Registration Staff. In this position you will be welcoming attendees to Animethon while you help them purchase and pickup passes for the event. Training will be provided!

You must meet the following requirements:
- Must be at least 18 years old
- Good communication and customer service skills.
- Comfortable and confident in handling transactions with a till.

Programming

Butler Cafe Staff

Overview:
- Serves patrons in Butler outfits at the ButlerCafe
- Similar to a waiter/waitress position but will also provide services that produce a unique experience for patrons to what a Butler Cafe would be like in Japan

Qualifications:
- Good customer service and communication skills
- Must attend training sessions prior to the event
- Must be present to the entirety of the Butler Cafe sessions
- Must be able to provide your own outfit

Cosplay Staff

We are currently looking for enthusiastic individuals to join our cosplay team, this team oversees all the cosplay events at Animethon, such as the Cosplay Contest, Cosplay Craftsmanship Contest, etc. This team also runs and maintains the Cosplay Repair Room throughout the event.

-Exceptional organizational skills preferred.
-Good communication skills.
-Must be detail orientated.
-Good general knowledge of Cosplay, Anime and Asian Popular Arts and the community.
-Having an events planning background is an asset.

Gaming Staff

We are looking for enthusiastic individuals to join our gaming team! From running the gaming hall to maintaining all the gaming areas.

-Good Knowledge of various types of gaming is required.
-Good organizational skills to track and maintain equipment.
-Experience running gaming tournaments is an asset.
-Must be age 18 or over to apply

Guest Autographs Staff

Overview
Reports to the Autographs Coordinator and assists in managing lines, guest merchandise, and attendee experience.

Guest Staff

The Guest Staff reports to the Guest Relations Manager, North American Guest Manager and Overseas Guest Manager. Successful applicants will be responsible for handling ASAPA’s official Guest of Honour under the Department of Programming. The Guest Staff acts as a representative of ASAPA and attend to Guest needs during their stay in Edmonton, including pick-up and drop-off at airport, arranging for transportation during their stay in Edmonton, ensuring contractual obligations are upheld, timely appearance at scheduled functions, ensuring meals and water is arranged, and entertain the Guest with local attractions. The Guest Staff will regularly report updates and status of Guest activities, notify the Guest Manager of any issues/concerns regarding Guest stay in Edmonton, and maintain professionalism at all times while acting as a representative of ASAPA.

Duties & Responsibilities:
Act as the event representative with Guests of Honours.
Ensure Guest(s) contractual obligations and agreed upon schedules are followed.
Ensure all Guest(s) requirements are met, including transportation and meals.
Communicate with the Guest Team and provide regular updates during the event.
Arrange for local attractions and activities with approval.
Maintain professional image and hygiene at all times.
Assist Guest with presentations and workshops as required.
Handle cash transactions for Guest in local currency as required.

Qualifications:
Ability to speak at JLPT N3 level or equivalent preferred, but not required
Good communication and diplomatic skills.
Good organizational skills.
Excellent knowledge of Edmonton attractions, activities, and restaurants.
Good conflict resolution skills.
Proficient with messaging and texting on mobile phones.
Must possess a mobile phone with a data plan.
Must be mobile and capable of walking for extended periods of time indoors and outdoors.
Must be available for the entire duration of the Guest stay in Edmonton, beginning on the Thursday prior to the Event date, and the Monday following the Event date.
Must be over the age of 18.
Customer Service experience is an asset.

Live Events Staff

The Live Events Staff will be responsible for making sure all "live" events that occur during the convention are organized, scheduled properly and ready to go for each special event following. Live Event staff will be responsible for assisting the Live Event Coordinator and Assistant Coordinator in running events. Depending on the role, they will assist in the scheduling of events, organization, and day-of logistical items.This includes coordinating events such as the Festival games booth and dance live events.

- Must be 18+
- Prior experience in event organizing is recommended
- Must be great at multitasking
- Must be able to follow a detailed schedule or timeline
- Must have good communication skills.

Maid Cafe Staff

Overview:
- Serves patrons in Maid outfits at the Maid Cafe
- Similar to a waitress/waiter position but will also provide services that produce a unique experience for patrons to what a Maid Cafe would be like in Japan

Qualifications:
- Good customer service and communication skills
- Must attend training sessions prior to the event
- Must be present to the entirety of the Maid Cafe sessions
- Must be able to provide your own outfit
- Singing and/or dancing skills are a bonus

Public Relations

Advertising Coordinator

Overview:
Year-round position 6 hrs/week
Reports to the Marketing Manager
Promote Animethon through various methods of advertising
Review and analyze surveys, and research advertising trends to develop advertising strategies
Plan and allocate advertising budget for various types of advertising
Meet with potential advertising agencies to discuss advertising plans
Select media providers by obtaining quotes and estimating returns on investment
Initiate advertising contracts upon approval, request creatives from Design Manager, manage the delivery of creatives to vendors and confirm that advertising placements happen according to contracts
Evaluate the performance of advertising campaigns
Track and update advertising expenditures against budget

Qualifications:
Good understanding of advertising in regards to anime and Asian popular arts
Good communication and negotiation skills
Some professional experience in advertising and marketing preferred, but not required
Some daytime availability for meetings or business emailing preferred

Advertising Staff

Overview
Year-round position, 6 hrs/week
Reports to Advertising Coordinator

Brand Ambassadors

Overview
Year-round on-call position
Reports to Community Events Coordinator and Assistant Coordinator
Cosplay at various external events to promote Animethon
Tell interested people about Animethon
Pose for photos with patrons upon request to create positive Animethon experience
Use own social media to promote Animethon from time to time
Upload video clips to Animethon social media platforms to promote and maintain community engagement

Qualifications
Cosplayer, gamer, or general anime and Asian pop culture enthusiast
Mature, outgoing and friendly
Knowledgeable about Animethon and ASAPA
Have own reliable transportation
Weekend availability plus some weekday and daytime availabilities
Willingness to travel out of town
Must have clean and/or professional conduct on personal social media platforms

Stipulations
*No cash handling
*Must be accompanied by an Animethon Coordinator staff or higher at events while on shift
*Only gas and hotel are covered for out-of-town events
*Small stipend provided to off-set cost of meals for out of town events only

Community Events Assistant Coordinator

Overview
Year-round position, 3 hrs/week plus at event shifts
Reports to Community Events Coordinator
Assists the Community Events Coordinator with their tasks, including:
Act as the liaison between Animethon and the community which includes, but is not limited to clubs, not for profit/charity/special interest groups and other events (conventions, etc.)
Research opportunities for outreach and promotion of Animethon at the community and clubs level
Coordinate and attend external promotion events with Mascot Team and Brand Ambassadors
Interact with event attendees to promote Animethon, give information, and sell tickets to Animethon at external events
Build and maintain good relationships with communities and clubs
Outreach to and be in charge of all aspects of Community Corner prior to and during Animethon, including providing space for interested clubs, not for profit/charity/special interest groups, etc
Holds all responsibilities of the Community Relations Coordinator when they are off-duty or unable to perform their duties.

Qualifications

Willingness to travel out of town
Must be able to bring some booth displays to external events
Sell tickets to Animethon at external events

Design Staff

Overview:
Year-round position, 5 hrs/week
Reports to Design Coordinator
Design various marketing content including print ads, digital ads, and online/social ads
Design various operational assets including Guidebook material, badges, event slides, and infographics
Understand and apply design specifications, sizes and other requirements for printing, vendors, etc.
Implement provided brand styles and guidelines depending on the project requirements
Assist Signage team in signage design, production, setup, and teardown as needed
Assist Design Coordinator and/or Directors as required

Qualifications:
Must be fluent in PhotoShop, InDesign, Illustrator or equivalents
Education and experience in marketing or design would be a plus
Other content and design experience including photo editing, video editing, logo design etc. would be a plus

Marketing Manager

Overview
Year-round position, 8 hrs/week
Report to Director of PR and Assistant Director of PR
Manage the communication and promotion of the organization’s brand
Perform strategic marketing analyses (PESTLE, SWOT, trend)
Prepare an integrated marketing plan
Oversee advertising, community events, mascot, sponsorship, and social media teams to deliver on an integrated marketing plan
Interview, select, train, coach and evaluate for coordinators advertising, community events, mascot, sponsorship, and social media teams
Work with Media Manager to coordinate the development of assets to support an integrated marketing plan

Qualifications
Some post-secondary education in marketing strongly preferred
Good understanding of marketing in regards to anime and Asian popular arts
Good communication and negotiation skills
Professional experience in marketing is a plus
Some daytime availability for meetings business emailing preferred

Mascot Staff

Overview
Year round on-call position, plus at event shifts
Reports to Mascot Coordinator
Utilize, care, and maintain mascots for marketing purposes
Wear a mascot suit during Animethon and at any ASAPA and Animethon related events as requested;
Assist, guide, and protect the mascot performer as their handler;
Clean and maintain the mascot suit after each use;

Qualifications
Must be able to carry 20lbs continuously for 60 minutes;
Must be able to withstand closed space and heat;
Must have outgoing and animated personality;
Must be less than 5'5" (165cm) tall and be of medium build or smaller.

Media Manager

Overview
Year round position, 8 hrs/week
Reports to Director of PR and Assistant Director
Oversees Design, Signage, Guidebook, Photography departments
Interview, select, train, coach and evaluate for coordinators for Design and Photography teams
Manages, obtains info, and assigns tasks to its departments
Assists with the PR Director and Assistant Director in planning a “look and feel” direction for the event with all publishable media assets, and carrying out the plan
Reviews work done by Design Team prior to submitting to higher approval
Manages submitted event photos and chooses photos for promotional purposes
Manages press and media inquiries and press releases
Compile Press Releases to promote the event and guests to the Media/Press;
Coordinate all interviews and invitations to Animethon Press Conferences with the Media/Press;
Managing and acting as liaison with all Media/Press that attend Animethon during the event;
Coordinate with the Site department to ensure all Site and Animethon policies in regard to photography and videotaping by the Media/Press during the event are covered;
Pursue media coverage leading up to and during the event for promotion.
Coordinate with Marketing Manager for their promotional needs

Qualifications
Experience as staff or patron with Animethon who understands the history, culture, and demographics of our event to create and curate media suitable for promotional purposes.

Background in graphic design, marketing, and communications
Experience in photography and videography would be a plus
Must be competent in PhotoShop, InDesign, Illustrator, Premier Pro or equivalents

Merchandise Staff

Overview
Event lead-up 2 months, plus at event shifts
Reports to Event Merchandise Coordinator and Assistant Coordinator
Assist in sales of Animethon-exclusive or Guest merchandise at the Merchandise table or booth during the event;

Qualifications
Must be able to handle a POS system;
Must demonstrate a high level of professionalism while dealing with the public and guests.

Photo/Video Staff

Overview
Year-round on-call, plus at-event shifts
Reports to Photo/Video Coordinator and Assistant Coordinator
Take photos/videos of events or promotions as required by the Photo/Video Coordinator
Batch process photos taken by photo staff and upload to our social media albums
Store and backup photos on supplied storage device

Qualifications
Background and experience in photography/videography required
Knowledge of using photo editing software required(e.g. Lightroom)
Own laptop with software required
Have own equipment

Signage Coordinator

Overview
Event lead-up time 6 months, plus at event shifts
Reports to Design Coordinator
Coordinate all requirements in regard to signage at all venues of the event;
Determine the quantity, sizes and information needed for all required signage;
Work with the Design Manager to come up with signage layouts;
Ensure all materials needed for building the required signage is accounted for or obtained;
Coordinate the placement and removal of all signage during the event.

Qualifications
Must be fluent in PhotoShop, InDesign/Illustrator or equivalents
Education and experience in marketing or design would be a plus

Social Media Staff

Overview
Year-round position, 7 hrs/week plus at event shifts
Reports to Social Media Coordinator and Assistant Coordinator
Assist the Social Media Coordinator and Assistant Social Media Coordinator as required;
Monitor and respond to comments and inquiries on assigned social networking platform;
Man the Social Media table/booth during the event.

Qualifications
Must be an avid social media user of all platforms
Excellent communication skills and impeccable command of the English language.
Able to professionally, assertively, and cordially handle difficult community members or situations
An excellent understanding of the community (i.e. Fandom) that Animethon serves.
Must have clean and/or professional conduct on personal social media platforms

Sponsorship Coordinator

Overview
Year-round position, 5 hrs/week
Reports to Marketing Manager
Seek out potential sponsors for Animethon
Curate sponsors for Animethon
Develop a Sponsorship Program for Animethon
Generate revenue through our Sponsorship Program
Generate revenue via Guidebook advertisement sales
Build and maintain relationships with local and international businesses
Coordinate with other departments for their sponsorship needs

Safety and Policy Compliance

Safety Staff

We are looking for enthusiastic individuals to join our Safety crowd control team! This team will be managing all of the site's access control. The team will be monitoring areas on the venue grounds such as the lineups for main events and vendors hall. Crowd control staff also provide communication to the public regarding event policies. Staff work with Shaw Conference Centre Security to provide a safe and energetic convention.

-Ability to work well individually and in groups.
-Maintain and communicate the event rules to patrons.
-Maintain a professional customer service attitude.
-Willingness to take and write reports as needed.
-Ensure that the safety and fire code policies and procedures are followed and communicated.
-Perform line control duties and crowd dispersion/reorganization as required.
-Keep foot traffic flowing in highly congested areas.
-Follow instructions as provided by the Head of Safety, Assistant Head of Safety, or Safety Schedule Coordinator.
-Experience in line and/or crowd control is an asset.

Site Operations

Artist Alley Assistant Coordinator

Overview:
- Assist the Artist Alley Coordinator in any duties required before, during, and after the Event.
- Promote the Artist Alley to the artist community.
- Assist in the development or review of the Artist Alley contract and signup system.
- Manage and answer all questions related to Artist Alley signup.
- Assign tables to artists who have fulfilled all requirements.
- Oversee the setup, operation, and tear-down of Artist Alley at the Event.
- Responsible for ensuring that the Artist Alley is staffed throughout the event

Qualifications:
- Good communication skills.
- Good organizational skills to coordinate and track artists, their tables, contracts, and payments.
- Good understanding of the Anime/Asian Popular Arts artists community highly recommended.
